How do you bring a sports club into the digital age without losing the community at its heart?
Loxwood Sports needed more than a website. Its board of directors was running the entire club across three separate systems and a lot of manual work, none of which joined up. We replaced all of it with one platform the club owns, and took the administration off their hands.
The problem
Every job a director needed to do took them somewhere different. Membership sat in membermojo. Court bookings sat in a separate booking product. Anything that needed saying to members was written and sent by hand. Each piece worked on its own. Together they made running the club far harder than it needed to be.
Nothing joined up, so the same information had to be kept in more than one place and checked in both.
The systems were built around somebody else's club, so Loxwood worked around the software instead of the other way round.
Emailing members meant assembling the right people by hand, every single time.
Three subscriptions, three logins and three renewal dates, all being paid for.
Preparing figures for a board meeting meant pulling them from different places and hoping they agreed.
No director could see the state of the club in one place, and one person always had to be asked.













What we built
We replaced all three systems with a single platform built for Loxwood Sports. Membership, payments, bookings, communications and reporting now sit in one place, shaped around how this club actually runs rather than how a product assumed it should.
Members join, renew and pay online. They book the squash court or a snooker table from their phone against live availability. They hear from the club when there is something worth hearing. None of it needs a director to lift a finger.
And the club owns it outright. No subscription, no per-member pricing, and nothing that stops working because a renewal was missed.


What it took off them
Members join, renew and pay by card without anybody having to chase them.
Renewal reminders, expiry warnings and lapsed notices go out on their own.
Live availability for the squash court and both snooker tables, with the club's own fair use limits applied automatically.
One message reaches the whole club, or just the part of it that needs to hear from you.
Past members, visitors and other contacts stay reachable instead of being lost.
New members are welcomed the moment they join.

The boardroom
This is the part that changed how the club is run. Each director has their own admin dashboard login. No shared password, no single person who has to be asked for everything, and no waiting on whoever happened to hold the account.
Board meetings used to begin with somebody having assembled the numbers beforehand, in their own time, from systems that did not agree. Now the reports are simply there. Membership and how it is trending, who has joined, who has lapsed, who is due to renew, how busy each facility is and at what hours, what has come in and from where. Eighteen reports in all, every one a few clicks from the dashboard and every one drawn from the same records, so they cannot contradict each other.
A summary of the week arrives by email every Sunday morning without anybody asking for it, so a lapsed member is noticed within days rather than at the end of a season.
The practical effect is that board meetings are about decisions again, rather than about gathering the information needed to make them.

The infrastructure
A volunteer board should not be responsible for a web server, so we took that on as well. Hosting, the domain, certificates, email delivery, backups, updates, security and monitoring are all ours.
When something needs attention it is dealt with before anybody at the club notices there was anything to deal with.
That matters more here than it would elsewhere. Every hour a director spends in a hosting control panel is an hour not spent on the club they volunteered for.

Somewhere along the way this stopped being a project and started being a club we are part of. Reforma is now a proud sponsor of Loxwood Sports Association, with our board up at the ground.
We back the clubs we build for. Loxwood Sports gives its members somewhere to play, somewhere to compete and somewhere to belong, and it does that on the time of volunteers who ask for very little in return. Sponsoring it was the easiest decision we have made.
