What the manual handover looks like
When Ballongifts came to us, orders were passed to the fulfilment partner manually, one at a time. Stock and tracking lived in two places that only agreed if a person made them agree. Every handover between order and dispatch was another place for a mistake to enter.
None of those steps is hard on its own. The problem is that they never stop, and they scale with every sale.

What an integration actually does
An integration connects the shop and the fulfilment partner directly, so information moves between them without anyone carrying it. For Ballongifts we built a dedicated API bridge between their eCommerce platform and their fulfilment partner. It does three jobs.
Orders are synchronised the moment they land, so the fulfilment partner has them without anyone sending them on. Stock movement is reflected on both sides in real time, so the shop isn't selling what the warehouse no longer has. And tracking and delivery updates flow back to the store, so customers can see where their order is instead of having to ask.
Orders: sent once, automatically
The first and most obvious gain is that nobody re-enters orders. Each one goes from checkout to the fulfilment partner as it happens, with the details exactly as the customer gave them. That removes the most repetitive task in the operation and the most common source of small errors: the wrong size, the wrong address, the order that was missed.
Stock: one picture, kept in agreement
When stock is tracked in the shop and at the warehouse separately, the two drift apart. Before the integration, Ballongifts' stock was accurate right up until it wasn't. With stock movement synchronised in real time, both sides work from the same numbers, and nobody has to reconcile them by hand.
Tracking: information flowing back to the customer
Tracking is the part that's easiest to overlook, because the cost lands in the inbox rather than the warehouse. When dispatch and delivery updates come back to the store automatically, customers can see where their order is for themselves, instead of having to ask someone who has to go and look it up.
Ready-made connector or custom integration?
If your shop platform and fulfilment partner already offer a connector that does what you need, use it. There's no reason to build what already exists and fits.
A custom integration earns its place when the ready-made options don't fit how your business works, or when the shop itself has been built to do more than a standard storefront. Before you decide, it's worth asking: does your fulfilment partner offer an API? Which events need to move in each direction? What should happen when an order changes or a product sells out? And who will notice if the connection stops working?

Ballongifts is a product-led, highly visual brand, and the integration was only half of the work. Alongside it we built a set of custom plugins that give full graphical control over how products are presented. Automating the operations meant the front of the shop could stay as expressive as the brand needed, without the admin behind it growing every time sales did.
The result is a commerce system where the visual experience and operational execution are no longer separate layers, and where volume can grow without the admin following it.
